We are currently seeking an Admissions and Parent Experience Executive for the Royal Grammar School Guildford Dubai (RGS), with an immediate start date. The Royal Grammar School Guildford Dubai opened its new campus in September 2021 as a co-educational institution offering a British curriculum. When fully operational, the school will serve around 2,100 students aged 3 to 18.
In this position, the Admissions and Parent Experience Executive will be instrumental in providing outstanding customer service and high-quality support to both new and existing parents, serving as the primary point of contact throughout the enrollment process. This role includes supporting the School Leadership Teams and Admissions from the initial inquiry to enrollment while building enduring relationships with families to ensure satisfaction and retention. A comprehensive understanding of the school's activities, events, and policies will be crucial for promoting the school's profile, enhancing parent involvement, and boosting student enrollments.
Key Responsibilities
Customer Experience Champion
Serve as the main point of contact for both new and existing parents, delivering exceptional customer service and ensuring that all feedback is addressed with professionalism and consideration.
Evaluate leads and manage phone inquiries meticulously and attentively.
Coordinate the logistics of school tours, open days, and assessments, ensuring confirmations are sent and followed up, and creating a memorable experience that embodies the school's ethos.
Admissions Process Management
Provide weekly enrollment reports to the School Leadership Team and Head Office, covering all key areas of Admissions: Enrollments, Leavers, Assessments, and Tours.
Accurately track and manage prospective and current student data within the CRM and school management systems.
Assist in collecting necessary documentation from parents, ensuring accuracy and promptness in our systems. Uphold CRM data integrity to support informed decision-making.
Community Engagement
Maintain a thorough understanding of the school's programs, policies, and culture to communicate effectively with prospective families.
Collaborate with Cognita’s Marketing team to share noteworthy stories via social media and other platforms, ensuring the school’s achievements are recognized within the community.
Assist in organizing and executing school events to enhance visibility and engagement with both internal and external communities.
Enrollment and Onboarding
Oversee the enrollment process, from accepting offers to collecting necessary documentation and ensuring compliance, facilitating a seamless transition for every family into our community.
Coordinate onboarding for new students, ensuring that all introductory communications are timely, informative, and relevant. Maintain engagement with future enrolled families to keep them excited about joining the school community.
Uphold the highest standards of communication and operational efficiency in all interactions with families, from initial inquiries to ongoing engagement.

Qualifications and Skills
A diploma or degree-level qualification is preferred.
Strong knowledge of UK curriculum schools and KHDA regulations.
Effective time management skills, resourcefulness, and the ability to prioritize tasks to meet deadlines.
Excellent interpersonal skills, a dynamic personality, and high energy levels.
A motivated, inquisitive mindset to grasp key information regarding the Company’s activities and commercial objectives.

Exceptional written and verbal communication skills along with presentation capabilities.

Computer Literacy: proficient in Microsoft Office: Word, PowerPoint, and Excel; experienced with CRM and ISAMS.

Experience
A background in customer service, ideally within an educational context, with a proven history in parent relations and community engagement.
Strong communication abilities, both verbal and written, with the capability to connect with a diverse parent demographic.
